It is very easy to compose email in Gmail. Many of us may do this regularly. But, those who have just created an account on Gmail and are the new users of Gmail, may find some difficulty in doing so. In this article, we will discuss the steps to compose email in Gmail. But, before composing an email let us take an overview of the term “email”.
What is an email?
Email is a short form of electronic mail. A message that is prepared over the computer and exchanged across two clients over the internet is an email. Email can be a text message, photos, files, videos or any other attachment.
To send and receive email one must have an email address. To have an email address one must have an account on a certain website. Many websites today provide the service of exchanging emails but one among the best is Gmail.
Steps to Compose Email in Gmail:
Step 1: To compose email in Gmail, first you have to sign-in to your Gmail account.
Step 2: As you sign-in to your account at the left side of your portal you will find a Compose button. Click on that Compose button.
Step 3: A New Message window will pop out as you can see in the image below. Here, the first field is “To” where we have to fill the email address of the persons to whom we want to send the mail. We can send mail to multiple recipients at a time by adding multiple email-ids in To, Cc and Bcc fields separated with comma, nowadays adding a space also works.
Well, we have two more fields beside ‘To’ that are Cc and Bcc. To open those field click on them one by one and enter the email-ids of the persons.
Let us clear our concept regarding “To, Cc and Bcc”.
To: In this field, we put up those email-ids to whom we actually to send the mail. All the recipients including To, Cc, & Bcc can see the entries in, To field of their received mail.
Cc: Its full form is Carbon copy. In this field, we put up those email-ids to whom we just want to inform about the mail and its recipients. All the recipients including To, Cc, & Bcc can see the entries in Cc field.
Bcc: Its full form is Blind carbon copy. In this field, we put up those email-ids to whom we just want to inform about the mail and its recipients. But, you don’t want that the other recipients of the email should know about it. This means that no recipients can see the entries of Bcc fields, not even other Bcc recipients.
Step 4: At this step, you need to put up the Subject which gives a precise description of your mail. Text in a Subject field displays in the inbox of the recipient.
Don’t leave the Subject field empty as it is an unprofessional way to send the mail and even there are chances that your mail will be filtered in recipient’s spam box.
Step 5: Type your mail below the Subject field, it is also called the message body. The actual information that you want to send to the recipients is written here.
You can also format your mail text using the Format option button ( A ) beside Send button at the bottom. It allows you to Undo, Redo, change the font style, increase or decrease the font size, make your text bold, italic, underline your text, change the colour of your text.
You can add bullets to your text, change the indent of your text and you can also adjust the alignment of your text.
Step 6: Along with the text message you can attach a documents, photos, videos, files or folders using the Attach files button as you can see in the image below. You can also insert a link, emoji in your mail text.
You can make your mail confidential by turning on the confidential mode button.
A Confidential mode dialog box will pop up. Here, you can regulate the expiry date of your mail and secondly, you have to choose whether to SMS passcode or not.
On selecting No SMS passcode your Gmail recipients can open it directly, while the other recipients will receive an email containing the passcode.
On selecting SMS passcode, all your recipients will receive a text message of a passcode on their phone number.
Step 7: After composing your mail simply send the message using Send button. You can also schedule the time to send the mail. For scheduling, the time of sending mail click the down arrow of the Send button then click on Schedule send.
A Schedule send dialog box will pop up. You can simply choose among the provided date and time in the box or you can pick your own date & time.
A Pick date & time box will pop up, customize your date and time and click on Schedule send. The email would be sent on the scheduled time automatically.
After you send the mail a “Message sent” message will display in the left-most corner at the bottom of your screen which confirms you that your message has been sent.
