If you want to track the changes made by reviewers of your presentation, then this article will guide you to do so. You may have observed the “Track Changes” option under Review tab in MS Word, which you turn on if you want to track changes made to your document. But, MS Powerpoint does not have such an option. In fact, in MS Powerpoint the original presentation is compared with the shared presentation to find out the changes made by the reviewers in the shared presentation. If you want, you can accept or reject the changes made by the reviewers.
Steps to track changes in MS Powerpoint (PPT) 2016:
Step 1: Create your presentation and save the original copy on your computer and share a copy of your presentation by a different name to your reviewer. You can ask them to make the changes they feel like, to that shared presentation.
Now, you have two copies to compare first, the original copy that you saved on your computer and second, copy that you shared with reviewer with a different name.
Step 2: Open the original presentation saved on your computer click on the “Review” tab at the top of your screen and under “compare” group click on the “Compare” tab as shown in the figure.
Step 3: A dialog box “Choose File to Merge with Current Presentation” will pop up. Search the presentation that you shared with your reviewer and after finding it click on that presentation file and then click on “Merge”.
Step 4: A “Revisions” task pane will be opened to the right side of your presentation. Under Revisions task pane you have two view options “SLIDES” and “DETAILS”. Under DETAILS you will observe “Slide Changes” (1) which will let you know about the changes made to the slide when you visit the slide. Next, below “Slide Changes” is “Presentation Changes”(2) which will let you know about the changes made to the presentation in particular. The “Other authors” (3) symbol can be observed at the place where the changes are made on the slide, as shown in the figure.
Step 5: Under Revisions task pane if you click on the “SLIDES”, it will present you the preview of the changes made by the reviewer to the slide. You can visibly compare the changes. As in the figure, it can be clearly observed that the color of the flower picture is changed by the reviewer and a text is added above the picture.
Step 6: After viewing all the changes made to the slide. Now, you have to decide whether you want to accept those changes or not. If you want to accept the change, then mark the check box next to “Other authors” symbol. If you want to reject the change, then you need not do anything. If the Other authors boxes are unchecked, then the changes will automatically, not accepted.
Step 7: If any reviewer has commented on any slide it is indicated by the “Comments” (1) icon appeared near the commented object. As in the figure below “Comments” icon appear near the picture. Double click on the Comments icon will let you view the comment, in the “Comments” task pane at the right side of the screen. To view next comment click on the”Next”(2) tab and to view the previous comment click on “Previous” (3) tab. There is another method to view comment click on the Comments (4) icon present at the bottom of the screen as shown in the figure.
