How to Use (Add, Modify & Delete) Quick Parts in Outlook 2010

Don’t you just hate to use the same sentence over and over again? The Quick Part Gallery is one of the most time saving feature in the Outlook 2010. The Quick Part refers to the building block in which you may create many contents which can be reused as per your requirement.

It even allows you to save images which can be used into the e-mail whenever you want to use it. In short, it simply acts like a template which we often use in our mobile phones in order to save time. Likewise, building blocks are used to save your time by storing the contents which you use frequently in your Quick Part list.

You may add as many contents in a Quick Part list as you want. If you feel that your existing content need to be updated and you want to change the entire text, you can modify it easily. If you want to delete the existing content, you can delete it and create a new content.

The following steps will help you to learn how to use Quick Parts in Outlook 2010 along with the features of adding, modifying and deleting the content in a Quick Part list.

 

How to Add Quick Parts in Outlook 2010

 

Step 1: Open Microsoft Outlook 2010.

Step 2: Open “New E-mail” option on the top left corner.

Type in the recipient name, subject and the text in the text area.

Step 3: Select the whole text and click on “Insert” tab on the top ribbon.

Step 4: When you select “Insert”, select “Quick Parts” on the top right side of the “New E-mail” screen.

Step 5: Click on “Quick Parts” and you may find the option like “Auto Text” and “Save Selection to Quick Part Gallery…”.

Select “Save Selection to Quick Part Gallery…”.

Step 6: “Create New Building Block” window will appear, type in the name for the text you want to use and then click “OK”.

Step 7: Now again, click “Quick Parts” and you may see your recently added text.

Now you can use this text whenever you send any message by clicking it.

Step 8: When you start a new e-mail and you want to add “Greetings” in your text, click on “Quick Parts” and select “Greetings”.

Text will be automatically added in the text area.

How to Modify Quick Parts in Outlook 2010

 

Step 1: To modify a quick part, open “New E-mail” tab on the top menu bar.

Step 2: Edit your text as you want and select it and then click on “Insert” tab.

Step 3: Click on “Quick Parts” at the top ribbon.

Step 4: Now select the drop down arrow in “Quick parts” section. You will see the list you have already created.

Click on “Save Selection to Quick Part Gallery…”.

Step 5: Change the name in the “Create New Building Block” window.

If you use the same name as before, your text will be saved with that name. Click “OK”.

Step 6: When you save it with the same name as before, Outlook will ask you if you like to redefine the building block entry.

Click on “YES”.

Step 7: Now your text is changed to the newly created text.

Again click on “Quick Parts” and you will find the same name but with the different text in it.

How to Delete Quick Parts in Outlook 2010

 

Step 1: Open “New E-mail” tab at the top ribbon in order to delete a quick part.

Step 2: Again, go to “Insert” tab at the top ribbon.

Step 3: You will find “Quick Parts” section, click on it and you may get various list which you have already created.

Step 4: Select that particular list and right click on it. You may find various options, click on “Organize and Delete”.

Step 5: “Building Blocks Organizer” window will open. You may see various list which you have created, select the list you want to delete.

Click on “Delete” button on the bottom of the screen.

Step 6: Outlook will ask you “Are you sure you want to delete the selected building block”. Click on “YES” to delete it permanently from the list.

Step 7: The selected building block is now deleted.

Click on “Close” to close the “Building Blocks Organizer” window.
